4. How do I tell the system who I am and which site I’m on?
It’s best practice to start your recording by saying your name and the project site (e.g., "This is Jack at the Smith Street project...").
5. Can multiple people from the same site use the system?
Yes, provided their phone numbers are registered in the system backend.
6. What is a "Site Diary" voice note?
A daily update covering work progress, weather, subcontractors on-site, delays, and any site variations.
7. How do I request an "Invoice" via voice?
Mention "Invoice" clearly and list the materials, labor hours, or costs you need billed, including the client name.
8. Can I record one long message for both a diary and an invoice?
It’s better to send two separate messages. The system "triages" each message into one category. If you combine them, the system will prioritize the Invoice to ensure billing isn't missed.
9. Is there a limit to how long a voice note can be?
Keep messages under 5 minutes for the best accuracy. Most effective diaries are between 30 and 90 seconds.
10. Do I need to mention the date?
The system automatically timestamps every entry, but if you are reporting for a previous day, make sure to state that clearly (e.g., "This is yesterday's report for Tuesday...").
11. How long does it take to get my report?
Transcription and processing usually take between 30 and 60 seconds. You will receive a confirmation via WhatsApp once it’s logged.
12. Where does the data go?
Depending on your setup, the data is automatically synced to your Google Sheets, a PDF Site Diary, or your project management software.
13. Does it work 24/7?
Yes. You can record a message at 2:00 AM on a Sunday, and it will be processed and filed instantly.
14. What happens if I have no signal on site?
Record the voice note anyway! WhatsApp will automatically send it once you’re back in a 4G or Wi-Fi zone, and the system will process it then.
15. What if the AI misinterprets what I said?
If a transcript looks "off," check your background noise. High wind or heavy machinery can sometimes garble the audio. You can always send a "Correction" voice note.
16. The result isn't what I expected. What should I do?
If the AI missed a key detail, it’s usually because the word was "swallowed" or whispered. Try to speak clearly and avoid eating or driving with the windows down while recording.
17. What does "Unclear" mean in my confirmation?
If the system responds with "Unclear," it means the audio was too short, too noisy, or didn't contain enough construction context to categorize. Please re-record.
18. How does the AI handle Aussie slang like "Smoko" or "Sparky"?
The system is specifically trained on Australian construction lingo. It knows a "Chippy" is a carpenter and "Smoko" is a break—it will clean these up for the professional report.
19. Can I edit a report after it’s been submitted?
Yes. Since the data goes to a Google Sheet or Doc, you can manually log in and edit any field if you need to add more formal detail later.
20. Is my voice data secure?
Yes. Messages are processed through encrypted channels and are only used to generate your specific project reports. They are not used to train public AI models.
